Wedding day timeline for a Louisville Saturday, ceremony to last shuttle

A Saturday wedding near Louisville is built backward from two fixed times: sunset, which sets your ceremony, and the venue's curfew, which sets your last dance. Everything else fits between them. Below is a sample timeline for a mid-October Saturday, the curfew at every venue we track, and the shuttle math that gets guests back to their hotels.
Start with the two fixed times
For an outdoor ceremony, plan to finish 30 to 45 minutes before sunset. In mid-October, Louisville's sunset is about 7:07 pm Eastern, so a 6:00 pm ceremony lands right. The second fixed time is when the music has to stop and the building has to be empty. That ranges from 10:30 pm to 2:00 am across the venues we cover, and it changes how much party you get after dinner.

Two things to read closely. At a venue that shuts down at 10:30 pm, the sample timeline above loses its last 30 minutes of dancing unless the ceremony moves to 5:30 pm. At a venue that sells a set number of event hours, like The Refinery's five, ask whether an on-site ceremony counts toward them. If it does, a 6:00 pm ceremony means the event ends around 11:00 pm, even though the building allows later.
Ask what "end time" means
Venues use the same words for different things. Before you build the timeline, get answers in writing to these:
- Is the end time when the music stops, when guests leave, or when your vendors must be gone?
- Does vendor breakdown happen after the end time, or inside it?
- Is outdoor music on a different curfew than indoor music?
- Can you add an hour, and what does it cost?
- When can your florist, rentals and caterer arrive, and is the morning included in your rental?
Last shuttle math
If most guests are staying in hotels, the last shuttle sets the real end of your night. The rule is simple: one round trip equals twice the drive time plus about 10 minutes to load. Drive times from downtown Louisville run from 10 minutes for The Magnolia and The Refinery to 55 minutes for The Destination, and every venue's page lists its drive time and nearest hotel area.
- Close venue (10 to 15 minutes): a round trip takes about 30 to 40 minutes, so one shuttle can run a 9:30 pm loop for early leavers and still be back for the final load.
- Mid-distance (25 to 40 minutes): a round trip takes 60 to 90 minutes. Plan for one early run and enough seats on the final run for everyone left.
- Far venue (45 minutes or more): plan on a single final run, with seats for every hotel guest.

- Pick the date and look up sunset.
- Set the ceremony 30 to 45 minutes before sunset, or earlier if the curfew is 10:30 pm.
- Count backward for photos, hair and makeup.
- Count forward from the ceremony to the published end time, and check how much dancing is left.
